Privacy notice

Company and website details; the contact person’s name and business email; quotation, technical, scope, experience and recommendation data; submission reference and time; email-delivery status; and limited security logs such as IP address in server logs. Please do not submit private or sensitive information that is unnecessary for the quotation.

3. Purpose and legal basis

We process the information to request and compare quotations, assess supplier capability, communicate about clarification and possible stage two, protect the form, and establish or defend legal claims. The legal bases are steps taken before entering a contract and our legitimate interests in sourcing a warehouse supplier, maintaining procurement records, and securing our systems (Article 6(1)(b) and (f) GDPR, as applicable). We do not use the response for unrelated marketing and do not make a decision producing legal or similarly significant effects solely by automated means.

4. Recipients and processing locations

Access is limited to authorised people working on the procurement and to service providers needed to operate it, including our hosting/technical provider and Resend for transactional email delivery. Providers act under their applicable data-processing and security terms. Data is intended to be processed in the EU/EEA; if a provider processes data elsewhere, the transfer must rely on a lawful GDPR safeguard.

5. Retention

Unsuccessful quotations are normally deleted within 24 months after the procurement closes. We may delete them earlier or retain limited records longer where reasonably necessary for legal obligations or claims. Information relating to a selected supplier may be retained for the contract term and applicable statutory limitation and accounting periods.

6. Your rights

Subject to the GDPR’s conditions, you may request access, correction, deletion, restriction, portability, or object to processing based on legitimate interests. You may contact us at the address above. You may also complain to the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Praha 7, uoou.gov.cz.

7. Required information

Fields marked required are needed to evaluate and contact you about the quotation. You are not legally required to respond, but without those fields we cannot process your offer. Please ensure you are authorised to provide any personal data relating to another person.

8. Security and changes

We use access controls, TLS encryption, a restricted administration account, and limited data access. No internet service can promise absolute security. We may update this notice if the procurement or processing changes; the effective date above identifies the current version.
